Security of Your Data

SecurityConvenience + Protection. With SmartHOA, you don't need a dedicated computer with expensive software; all you need is a web browser. You can manage your association from any internet device such as a desktop computer, laptop, notebook, netbook, iPad, smart phone, etc. In addition to convenience, SmartHOA gives you sophisticated security to protect your data.

Security Certificate. We use a wildcard SSL certificate with 256-bit encryption to keep your data secure as it transmits to and from your browser to our servers. An SSL certificate encrypts information sent to our servers by scrambling data into an undecipherable format that can only be returned to a readable format with the proper decryption key.

Intrusion Prevention. SmartHOA servers use "Tipping Point" hardware for broad, comprehensive protection against unauthorized intrusions. The Tipping Point device blocks malicious and unwanted traffic while allowing authorized traffic to pass unimpeded. All suspect or non-compliant traffic triggers other policy-controlled actions, including blocking, quarantining and alerts. In addition, our servers employ Cisco Guard DDoS mitigation appliances to detect and defeat sophisticated distributed-denial-of-service (DDoS) attacks.

SecuritySuspicious Behavior. We use the latest ASP.NET security technology to maintain client data by means of a proprietary handshake and ticketing system to verify your identity. We then add another layer of protection by tracking login habits, location and frequency so as to detect malicious attempts to enter the system. Our sophisticated tracking system automatically blocks suspicious activity.

SmartHOA Servers. Data stored on our servers is safer than information stored on paper in a manager's office file cabinets or data stored in unprotected office computers. SmartHOA servers are kept in a private Tier III, N+1 facility. Because of the facility's high standards, managers have access to their association’s data 24/7 with 99.982% server availability.

SecurityKeeping Cool. To avoid overheating and potential damage to hardware and lost data, SmartHOA servers are kept in a facility cooled by 100-ton chillers with redundant 30-ton HVAC units to keep servers operating at peak efficiency.

Fire Protection. SmartHOA servers are protected by a pre-action dry pipe fire suppression system which protects equipment from accidental water damage while effectively putting out localized fires.

Power Backup. To protect servers against any downtime from a power loss, our facility is serviced by redundant electrical grids. In the event the electrical grid fails, our servers have UPS battery backup as well as diesel generators that automatically step in to keep our servers running and data flowing to managers.

Protection Against Theft. A manager's office computers are subject to theft. If HOA data is kept on office computers, their theft could result in security breaches and the permanent loss of data. It would also result in significant downtime for management operations while waiting for new computers, buying and loading management software, and recreating lost data. All of this can be avoided with a SmartHOA account.

SecurityIn the event a manager's office computers are stolen, SmartHOA management operations are unaffected. Managers can continue operations by logging into their account with a borrowed computer.

Managers never need to purchase or download software—they simply log into their account with another computer seamlessly continue operations.

To protect against theft, SmartHOA servers are kept in a high security building protected by digital security video surveillance and proximity security badge access.

Data Backup. With a SmartHOA account there is no need to purchase expensive data backup systems—we backup the data for you. We fully backup the entire system each day. Our "bare metal" backup allows us to fully restore a computer system without any requirements as to previously installed software or operating system. In other words, if for any reason one of our servers needs to be replaced, we can quickly restore systems and data to a new server without going through lengthy setups and reconfigurations.

SecurityIn addition, we keep seven days of backed-up data at any particular time. For additional safety, we keep extra backup copies of the data at a different physical location. That means in the unlikely event a disaster destroys the datacenter, we have a secondary backup from which to restore data.

We believe we have one of the most sophisticated privacy and data-protection systems in our industry. If you have any questions, please do not hesitate to ask.
